This guide provides instructions on setting up distribution schedules in PantryEasy.

Part 1: Setting Up a Recurring Distribution Schedule

Open Distribution Setup Select the Distribution Setup menu item. This screen displays all current distributions for your food pantry or food bank, including details such as location, day of the week, week of the month, time of day, maximum number of orders, and the distribution method (pickup or delivery).

Add a new schedule Click Add Distribution Schedule to initiate the creation of a new distribution schedule.

Set the location On the New Distribution Schedule screen, specify the location of the distribution. This is where clients pick up their order for pickups, or where delivery drivers collect the order for deliveries.

Choose the distribution method Options include Pickup, Delivery, or DoorDash (if DoorDash is delivering the orders).

Set the order limit Specify the maximum number of orders this distribution can handle. The default is 50 orders.

Set the distribution day and time Set the day of the week when the distribution takes place and the pickup time window. For example, clients will be able to pick up their orders between 1:00 PM and 3:00 PM.

Define the shopping window Set the period during which clients can place their orders. For example, if the distribution is on Friday, allow clients to start placing orders on Monday of the same week at midnight. The shopping window closes on Wednesday of the same week at midnight. As you select the distribution and shopping days, the calendar preview will automatically update to reflect your selections.

Extend the shopping window (optional) To give clients more time to shop, change the order-from day to Thursday of the week prior to the distribution. This allows clients to have seven days to order instead of just three.

Save the schedule Once satisfied with the setup, click Add Distribution Schedule. The new distribution schedule will appear in the grid.

Generate distributions To generate distributions on the calendar faster, click Generate Distributions. This takes you to the Distributions page where the new recurring distributions will appear.

Part 2: Setting Up a Single (Non-Recurring) Distribution

Create a one-time distribution To set up a special, non-recurring distribution, navigate to the Distributions screen and click Create Distribution.

Set location and method Select the location and the distribution method. For example, set up a delivery for only a single day at a specific time of day.

Define the shopping window Set the shopping open and close times. For example, allow shoppers to start shopping on October 7th at midnight and close the shopping window on October 8th at 11:59 PM. Set the maximum number of orders for this distribution (e.g., 15 deliveries).

Save the single distribution Click Create Distribution. A single distribution will be created for the specified date (e.g., October 11th) rather than a recurring schedule.
