This guide demonstrates how PantryEasy assists in fulfilling orders for a distribution. Once the shopping window closes and all client orders are finalized, PantryEasy provides the fulfillment team with detailed reports about the products to be picked from inventory and packed for each order.
Finding Distributions Ready for Fulfillment
1
Identify distributions ready for packing
Distributions that are ready for packing have a status of Shopping Closed. These can be found on both the Dashboard screen and the Distributions screen.
2
Filter by status
On the Distributions screen, filter by a status of Shop and Close to find all distributions ready for fulfillment.
3
Select a distribution
Select a distribution that is ready for fulfillment. All necessary information about the distribution is available on the screen and can be modified if needed.
Printing Fulfillment Reports
4
Access the reports
Print reports for the fulfillment team. These reports are located at the bottom of the distribution screen.
5
Product Totals Report
The first report, the Product Totals Report, provides a summary of every product that needs to be picked from inventory across all orders in the distribution.
6
Pick List and Order Summary Reports
The Pick List Report provides detailed information for each individual order. The Order Summary Report provides one line per client and order for the entire distribution.
Updating Order Statuses
7
View orders
After orders have been picked, use the View Orders button to open the screen listing every order along with its current status.
8
Update individual order status
Update each order status to Picked Up or Delivered as the order is fulfilled. If the client does not show up, change the status to No Show. If the client calls to cancel, cancel the order from this screen.
9
Update multiple orders at once
To expedite the process when many clients pick up at the same time, select multiple orders. At the top of the screen, select the new status you want to apply to all selected orders and click Update Status.
10
Automatic no-show updates
PantryEasy will automatically update remaining open orders to No Show at least 24 hours after the distribution time. If your food bank or food pantry holds orders for longer than 24 hours, this time frame can be changed in the Shopping Site Settings screen.
11
Configure the no-show window
On the Shopping Site Settings screen, navigate to the Shopping tab. Update the Hours After Distribution for No Show Updates field to the desired value and save.
